Periodically checking and amending checklists, operation steps, supervising general maintenance activities like housekeeping, pest control, pantry service, horticulture, façade cleaning, carpentry works, waste management.
Timely renewal of multiple AMC’s and soft furnishing maintenance etc.
Taking round of the facility regularly to identify issues in Housekeeping and Cafeteria and initiate immediate rectification actions also co-ordinate with site security executives.
Ensure induction (Swagat) is given to all new staff to follow procedures, to always maintain all records up to date.
Liaise with Facility Manager, clients, customers, sub-contractors, management and employees to ensure the smooth running of the project.
Preparing weekly shift rosters for site team.
Reporting all incidents issues and pending jobs to the Facility manager / Admin Team.
Vendor management.
Handling Invoice processing.
Worldwide facility management.
Helpdesk: Coordinating with the Central Helpdesk for timely resolution of requests / complaints.
Provide management advice to Helpdesk operators for escalated issues.
Ensure immediate response to Priority Calls.
Ensure planning and execution of all preparation required for Conferences / meetings of the client as well as VIP visits scheduled.
Housekeeping: Coordinating with the housekeeping in charge to discuss and communicate priorities for the shift and address complaints.
Muster all the housekeeping staff of the shift before deployment and communicate the priorities of the day.
Inspect the turn out and attendance of the staff and sign the shifts register.
Ensuring cleaning, caretakers, grounds workers staff timesheets and relevant paperwork are completed and issued in time with requirements.
Scheduling & coordinating for deep cleaning tasks for the property.
Maintaining proper inventory of all consumables, supplies etc.
Ensure all machines are in full working order and all faults are reported & repaired.
Cafeteria: Coordinating with the cafeteria management.
Ensure that the caterers are maintaining highest standards of hygiene in the services area.
Ensure that the quality and quantity of the food supplies are meeting the requirements.
When the food supplies run out, escalating the matter to the caterer’ management immediately & make swift alternate arrangements.
Pantry Services: Coordinating and overseeing the pantry equipment and reprographic equipment operations and identify issues and take necessary actions.
Lunch arrangements for Client’s outside visitors & delegates.
Horticulture / Gardening: Coordinating with the horticulture vendor for maintenance of Garden and outdoor plants and take necessary action if required.
Payment clearance through payment vouchers with the approval of local Admin.
Façade Cleaning: Coordinating with the façade cleaning vendor to maintain cleanliness of façade.
Pest Control: Coordinating with the pest control vendor for Periodical disinfestations of the premise.
Maintaining of pest control reports.
Carpentry: Coordinating with the in-house carpenter / vendor to maintain upkeep of loose and fixed furniture.
Vendor invoice cross verification with his provided quotations before sending it for payment process.
Waste Management: Period disposal of waste generated in the premises with segregation as Food Waste, Dry waste & wet Waste.
Other Profiles handled: Periodical review of the site with Facility Manager & location Admin.
Co-ordinates with Annual Maintenance Contract (AMC) service providers for regular & break down maintenance activities.
Ensure timely renewal of all AMC’s.
Ensure all safety guidelines/requirements are met by team members/vendors.
