Job Responsibilities in Shiva Group:
Ø Work mainly as Secretary to MD but also assisting other Directors for any secretarial work, occasionally.
Ø Making arrangements for ensuring that MD’s schedule including travel is managed efficiently without any delays or hitches.
Ø Ensure MD’s administrative requirements such as travel arrangements (domestic and international) bookings, hotel arrangements and Visas for the Director, tele-conferences, meetings and appointments are arranged efficiently.
Ø Handle all incoming & outgoing correspondence – emails, letters, faxes etc. and put them to the MD for disposition.
Ø Track & follow up on actions required where needed.
Ø Draft emails, letters and faxes and prepare presentations for the MD.
Ø Regular interaction with all Unit & Functional heads for receiving and communicating information as well as follow-ups on various issues.
Ø Maintain confidentiality of the data / information, as desired and independently handle all confidential correspondence at senior levels.
Ø Carry out any other work as and when assigned by the appropriate authority.
Ø To ensure smooth functioning and execution of all day to day secretarial functions
Ø Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
Ensure necessary records are maintained that can readily provide current, accurate and accessible information.
