Responsibilities:
1. Invoicing:
• Generating and issuing invoices to customers accurately and in a timely manner.
• Ensuring that invoices contain all necessary information, such as product or service details, pricing, terms, and payment instructions.
2. Credit Control:
• Evaluating the creditworthiness of customers before extending credit terms.
• Establishing and enforcing credit limits to minimize the risk of bad debts.
• Monitoring customer accounts for payment trends and making adjustments to credit terms as needed.
3. Payment Processing:
• Recording and tracking payments received from customers.
• Allocating payments to the appropriate customer accounts and invoices.
• Identifying and addressing discrepancies in payments.
4. Collections:
• Following up with customers on overdue payments through emails, phone calls, or other communication methods.
• Negotiating payment plans or settlements for delinquent accounts.
• Collaborating with the sales or customer service teams to address customer concerns or disputes that may affect payments.
5. Account Reconciliation:
• Reconciling customer accounts to ensure that all transactions are accurately recorded.
• Investigating and resolving discrepancies between company records and customer payments.
6. Reporting:
• Generating regular reports on accounts receivable aging to track the status of outstanding invoices.
• Providing management with insights into cash flow projections and potential risks related to receivables.
7. Customer Relations:
• Building and maintaining positive relationships with customers to facilitate smooth payment processes.
• Addressing customer inquiries and concerns related to invoices and payments promptly and professionally.
8. Systems and Technology:
• Utilizing accounting software and tools to manage accounts receivable efficiently.
• Staying informed about industry best practices and implementing new technologies that can improve receivables management.

• Ensuring compliance with relevant accounting standards and regulations.
• Keeping abreast of changes in accounting rules and making adjustments as needed.

Backup for Team Leader on any escalations from clients and the senior management team
· Planning for the daily activities and work allocations to the team, subsequently report the productivity on a daily basis
· Working with the team on the cross training and backup planning on various activities

· Processing of invoice including PO & Non PO Invoices.
· Invoices for exceptional vendors and critical vendors needs be processed and paid immediately.
Direct Debits:
· Follow-up with the direct debit vendors for the payment taken, follow up with approver on invoice approvals and clear them manually
· Prepare, plan, report & analysis direct debit vendors and payments
Month end Activities:
· Prepare Parked invoices report, GRNI Report, AP to GL account reconciliation, direct debit reconciliation, Aged Creditors report and Suspense account reconciliations, Journal entries for Incoming and outgoing payments...
· Payment runs for Vendors, Employees.
· Monthly service delivery deck for the performance call with clients
· Post the cheques which was cleared during the month and prepare the Cheque reconciliations
Auditing:
· Perform frequent end to end sample audit on the payables and suggest proactive controls
· Perform payment audits for the invoices that would get paid and perform necessary action before executing payments in case of any errors
