General administration and facility management
· Daily smooth operations of all administrative activities in the facility management.
· Monitor operations to ensure that staff members comply with administrative policies and procedures and safety rules.
· Communicate and coordinate with different departments to ensure the operational support timely and efficiently.
· Manpower handling of outsourced staff (Housekeeping, Security and other maintenance Staff)
· Maintenance and proper upkeep of Infrastructure like office premise, maintenance and replacement of office equipment’s, appliances, furniture, furnishings, building, etc.
· Maintaining overall record of equipment/machineries maintenance & rendering reports to concerned authorities.
· Direct investigations to verify and resolve employee’s complaints.
· Taking care of petty cash expenses and preparing monthly MIS for different kinds of expenditures.
· Preparation of weekly, monthly and quarterly reports (food consumption, Security, Consumable stock, maintenance etc.).
· Checking bills invoice for quantity/amount accuracy against the price and ordered quantity and bills submission to Finance department for processing of Invoice.
· Vendor management and coordination.
· Cafeteria management.
· Daily food testing is done and feedback shared with partner if required.
· Weekly monitoring of menu to ensure there is no repetition of the food.
· Focusing on automation, suggesting initiatives and cost saving ideas to save efforts, manpower and cost.
· Timely renewal of annual maintenance contracts of all physical assets/equipment’s/vendors purchase orders.
· Coordination with building management team for smooth functioning/operations.
· Ensuring smooth arrangements for Clients and internal meetings.
· Coordinating with various outlets for Corporate Discounts (Medical Centers, Food Joints, and Gymnasiums etc.).
· Tracking & reconciliation of outward physical asset/equipment movements.
· Taking care of Access Control Management.
· Data Backup, analysis & reconciliations of Access Control and CCTV recordings with Zoning of Premises.
· Taking care of Fire Alarm & PA system management.
· Taking care of Closed Circuit Television (CCTV) management.
· Taking care of Visitor Management System (VMS) management.
· Taking care of Cafeteria Managements System (CMS) management.
Transport management
· Making the daily pickup/drop plan roster of employees.
· Plan, direct, and coordinate the transportation operations within an organization.
· Direct activities related to routing and tracking transportation vehicles.
· Taking care of transport compliance.
Compliance and internal audits.
· Coordinating in complete planning & management activities for ensuring completion of Client, internal & statutory audits within time.
· External ISAE 3402/SAS 70 Audit (Administration, Facilities and Transport – Conducted by KPMG auditors)
· External ISO 27001:2013 recertification and surveillance audit (Conducted by BM Trada – Agency).
· Ensuring the background screening & paper documentation of 3rd Party Contractual Staff (Security, Housekeeping and Transport staff).
