· Participating in the development, implementation, evaluation & modification of administrative policies & procedures to optimize resource & capacity utilization across various functions
· Supported supervisor in planning, organizing and directing the functions of Accounting Department including Accounts Payable, General Ledger and Financial Statement preparation
· Supervising the procurement of materials, stationery & office equipment; ensuring correct forecasting of supplies to maintain optimum inventory and developing & maintaining cordial relations with vendor base to get competitive rate
· Developing budgets & annual plans to manage facilities as per organizational needs, managing inventory of materials and procurement of the same in the desired time frame
· Identifying & networking with cost-effective vendors for purchase of requisite materials at reasonable price
· Leading complete travel management (domestic / international)
· Recognizing new space requirement and conducting negotiation & execution of lease agreements
· Actively involved in:
o Vendor selection & management including service / quality rating performance
o Annual budgeting, presentation to management & maintenance of budget vs. expense in line with pre-set numbers
o Saving of overall administrative expenses including rental saving for negotiations
o Maintenance of company buildings / properties / guest houses / apartments
· Creating corporate deals for all major services for company / employee’s benefits
· Organizing MICE (Events, Induction Programs, Birthday Celebrations, Client Visit Meeting, Offsite And Festival Celebration) & participating in Employees Engagement Programs
· Coordinating & supervising:
o Entire housekeeping needs for smooth operations; reviewing wages & perks and maintaining records
o Communications / office equipment / stationary requirement & other required services to ensure the best deal & service providers are in place
· Undertaking responsibilities including space planning & utilization, office equipment, furniture and service requirements
· Administering all aspects of:
o Company’s cafeteria / branches
o Maintenance Program preparation for emergency / fire control & prevention
o Mail services, reception / switchboard services, site security systems & services, contract food services, capital improvements & facilities expansion projects and miscellaneous projects
· Assisting in monitoring services provided by outside contractors to ensure that all EHS polices / acceptable security standards are followed
· Maintaining & reviewing:
o Contracts for all Third Party Contractors, Housekeeping Agency, Vending, Recycling & Security Provider, so on
o AMC for all office equipment / automation for timely renewal
o Company assets and their records
