As Sr. Manager – Administration
Responsibilities
· Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
· Recruit and train personnel and allocate responsibilities and office space.
· Assess staff performance and provide coaching and guidance to ensure maximum efficiency.
· Ensure smooth and adequate flow of information within company to facilitate other business operations.
· Manage schedules and deadlines.
· Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
· Monitor costs and expenses to assist in budget preparation.
· Oversee facilities services, maintenance activities and trades persons (e.g., electricians)
· Organize and supervise other office activities (recycling, renovations, event planning etc.)
· Ensure operations adhere to policies and regulations.
· Keep abreast with all organizational changes and business developments.
Also includes:
1. Ensure all operations are carried out in appropriate, cost-effective way.
2. Find ways to increase quality of customer service.
3. Implementing and working on projects given by top management.
4. Build and maintain relationships with all department heads, external partners, and vendors to make decisions regarding operational activity and strategic goals.
5. Uphold organization policies and standards and ensure upstanding reputation of company is maintained through instilling various procedure, ensuring legislative regulations are followed.
6. Work closely in human resources to lead team within integrity and establish and maintain trusting, inclusive, and productive environment. In addition, work in conjunction with human resources to streamline security protocols and solve any issues arising.
7. Present reports asked by management.
8. To ensure safety rules are followed in office. Stop all unsafe practice. Providing safety guards to prevent accident.
9. Liaisoning with all external parties such as government offices, power line office, municipal water offices to manage all utilities and taking over public relations for company
10. Assist in administering and controlling entitlements of contractors, part-time and full-time staffs,
11. Assist in providing direction to HR on interpretation and application of policies, regulations and rules and regulations in Ethiopia,
12. Support in developing HR planning strategies, which consider immediate and long-term staff requirements in terms of numbers and skill levels;
13. Assist HR in reviewing policies, procedures and recommend changes as required,
14. Complete control, guidance, and strategy implementation for all security related issues in plant to ensure smooth running of factory and no theft
15. Assist in ensuring personnel policy is understood by respective staff
18. Complete supervision and control over local purchases.
19. Management of residential canteen including budgeting, grievance and others issues
20. Follow up for Vehicle maintenance and transport management which includes repair status, parts procurements, arrangement of substitute vehicle to avoid stopping work, etc.
21. Other than above, any tasks allocated by company.
