Principal Duties and Responsibilities

  • Facility administration and maintenance in-charge.
  • Responsible for Security, Transport, Soft & Technical Services.
  • Hands on experience on people management – currently handling a team of 20 skilled professionals.
  • Responsible for staff grooming, uniform standards, cleanliness, safety, hygiene and overall attitude.
  • Daily inspection of premises for cleanliness and hygiene to take corrective actions when required.
  • Vendor KPI review. Monthly Business Review.
  • Schedule preventive maintenance respond to urgent maintenance calls. Participate in the creation of emergency preparedness plans and Business Continuity plans
  • Manage the AMCs of various equipment.
  • Responsible for agreements & AMC contracts of in-house service providers like UPS, HVAC, CCTV, Fire & Safety equipment’s etc.
  • Monitor and adjust system set points and output, thereby providing optimum comfort level, adding to energy saving measures.
  • Responsible for complete upkeep of all critical equipment at site.
  • Liaison with Building Management Team for AHU maintenance, campus entry/exit, material inward / outward, etc.
  • Parking management.
  • All inhouse event management (Annual day, cultural activities, CSR activities, Team outings).
  • Develop and implement innovative procedures and best practices for operations.
  • Preparing and compiling MIS reports and monthly management reports.
  • Coordinate conduction of evacuation drills, safety inspections, emergency response plans and actions.
  • Directs security personnel operations according to established policies and procedures.
  • Ensures appropriate security response to emergencies or unusual occurrences and ensures required internal/external notifications are made as per requirement.
  • Maintains records on emergency responses, equipment inventory, Key and lock systems, alarm systems, reported security incidents, reported personnel incidents, and unusual occurrences.
  • Handling Employee transportation as also Guest transportation.
  • Printing of ID cards, Visitor cards, Magazines, poster etc.
  • Coordination for purchase of environmental materials, consumables & equipment and maintain optimum stocks of the same.
  • Responsible for pest control services.
  • Horticulture - Vendor Visit follow ups & to check the cleanliness of the plants.
  • Ensuring an adequate supply of consumables/materials and service for the proper operation of services and enter supply and service contracts as approved by the client
  • Maintain appropriate stock levels of all consumables to ensure smooth operations & escalate in time to achieve availability of stocks.
  • Responsible for photocopy machine usage, maintenance & invoicing.
  • Seat inventory & seat allocation.
  • Cafeteria management (menu selections, payment, SPOC for food committee, arranging food festivals).
  • Stationery & First Aid Kit Management
