General Administration & Facility Management
- Oversee the day-to-day operations of office facilities, ensuring a safe, clean, and productive work environment.
- Overseas all aspects of facility operations, including maintenance, security, and safety protocols.
- Lead the JLL management team and support staff in the delivery of facility management services.
Vendor Management
- Negotiate contracts and agreements with vendors, ensuring competitive pricing and adherence to service level agreement.
- Evaluate vendors performance regularly and address my issues and concerns timely.
Health and safety
- Implement and enforce health and safety protocols, ensuring compliance with regulations and company policies.
- Collaborate with relevant stakeholders to develop and conduct emergency response drills.
- Proactive resolution of daily operational issues
Inventory Management
- Monitoring inventory of office supplies and the purchasing of new material, Ex- Stationary, Snacks etc.
Travel and Transportation
- Working with travel desk and company appointed travel agent to coordinate travel arrangements for employees, including booking flights, hotels, and transportation.
- Streamline travel process and expenses, ensuring adherence to company policy.
- Managing transportation facility provided to female staff for home drop.
Cafeteria Management- Food tasting, quality checks and Hygiene inspection.
AMC - Monitoring annual contract for HVAC, Fire system, Access Door, Kitchen, pest control etc.
Client Relationship Management- Manages the process of developing and maintaining effective business relations with clients.
Compliance and regulations
- Ensure compliance with local, state, and government regulations related to facilities and administration.
- Stay informed about industry best practices and emerging trends.
HR Operations
- HR Admin- Manage employee records including joining & Exit formalities, recruiting process, to develop the induction programs for the new recruits, to manage attendance and payroll salary process.
- People Management- Handle employee relations issues, including conflict resolution.
- Payroll and Attendance- Overseas employee attendance and payroll updates, Coordination with ADP
- Leave Management System- Managing leave dashboard and employee leave database for compliance purpose
- Employee Engagement Activities and Events Planning- Plan and execute company events, meetings, conferences, employee engagement activites, ensuring smooth logistics and a positive participant experience. Collaborate with cross-functional team to support various internal and external events.
- Gifts- Customized R&R/Birthday/Festival Gifts for employees and clients.
- HR policies- Implement and maintain HR policies and procedures. Managing Employee Master data with confidentiality. Ensure compliance with labor laws and regulation.
