* General Administration

 Handling unauthorized absenteeism, counseling of habitual absentee.  Coordinating with vendor for payment of contract employees to ensure that all bills are cleared on time

 Offer release, bank account opening, ID card coordination, sending details to the top management.

 Security & Transport & Housekeeping Management.  Motivate to employees for 5S activities.

 Time office management and salary functions, communication through circular, notices, and group’s communications.

 Manage to Traveling, Guesthouse, Housekeeping, Hotel Booking, Canteen etc.

 Ensure availability of manpower as per plan.

 Ensure smooth functioning of Guest House, Pantry.

 Canteen & shop floor management.

 Ensure timely bookings of Hotels, Railway, and Air & Road Transport Booking as per need.

 Organize events like Birthday, picnic, tour & annual day celebration.

 Ensure timely Pest control in plant, timely payment contractor, Electricity bill, Telephone, and other vendor’s payment.

 Updating of details on online Trimaster Portal i.e., Office Net (for Manpower).


* Induction & Orientation

 Conduct HR portion (Company history, HR Policy etc.) of the induction program.

 Handling HR activities such as completion of joining formalities including completion of all documents related to personal files.

 Organizes Induction programs to ensure smooth and efficient joining of new hires.


* Vendor Management.

 Develop new Vendor & Negotiation with vendor related to Admin work.

 Ensure timely renewal of agreement with vendors.

 Ensure timely preparation of PO with Purchase.


* Industrial Relation & Counseling.

 Solving employee grievances / queries pertaining to salary, leaves, joining formalities, transfer request, advance, ESI, reimbursements like Local Travel Claim Bills & Tour Expenses. etc.

 Execute disciplinary actions like issuing memo, warning letter etc.

 Counseling of Employees for absenteeism, late coming or any indiscipline act & Coordination in IR Activities (scheduling meeting, preparation of minutes of meeting etc.)


* Contract Labor Administration:

 To ensure timely recruitment of contract labor through different contractors.

 Verifying monthly salary and bonus of contract labour.

 Verification of personnel files.

 Cross checking of all compliance of Contractors.


* Exit Formalities:

 Prepare termination / resignation letters.

 Manage the entire termination Process.

 Conduct Exit Interview and responsible for Full and final settlement.


* Statutory Compliance & Liaison

 Ensuring zero gaps in statutory compliance of Central & State rules. E.g. –Factory Act, Contract Labour Act, ESIC, EPFO, Payment of Wages Act, Minimum Wages Act, Gratuity, Bonus Act, etc.

 Ensure timely update of various legal register on daily & monthly basis.

 Maintain all the records related with I.S.O. 14001 & 45001, Certification like Training, organize safety meeting, mock drill, General Housekeeping Record, Air & Noise Monitoring, Maintain Accident & Incidence register etc.

 Timely Renewal of NOC (Fire), License (Factory).

 Timely calibration testing of various equipment under Factory Act, Weight & Measurement.

 Liaison with Local & Govt. authorities. E.g. – Factory Department, ESIC Department, EPFO, SIDCUL, Fire Department, Police Department.


* Attendance & Payroll Management

 Preparing salary breakup for new employee.

 Verifying all input in salary statement

 Checking Variance in payroll and ensure correction of the same.

 Preparing monthly MIS for Cost of employee

 Coordinating and providing all report for payroll audit.

 Ensure daily & monthly updating of attendance, leave records on payroll.

 Handling End to End Payroll process


* Grievance Handling

 Handling employee Grievances being a part of Employee Grievance enquiry.

 Make a healthy relation with various Govt. Department and our Employee both on roll & off roll and solve all queries of them.

 Supports resolution of employee relations issues and conducts investigations as necessary.

 Grievance handling various staff issues/queries related to various HR Policies.


* Recruitment & General Affair Activities

 Handling recruitment & organizing, coordinating, conducting interview.

 All joining formalities of the employee. Issuing LOI (to the selected candidates), appointment, and increment, promotion, and confirmation letter to employees.

 Preparation & implementation of Induction program for all levels of employees.
