Roles And Responsibilities

  • All necessary support and assistance to the Project Manager/Director, Marine and Engineering Superintendents, Site Supervision teams, Operational staff and Accounts for the effective control and overall management of Project related activities.
  • Document control functions for all related activities including shipbuilding contracts, interior and exterior consultancy contracts, tender contracts, owner supplies, etc. etc., to satisfy audit requirements.
  • Prepare and update Master Plans, payment schedules for various items such as tender contracts, exterior and interior items, technical consultancy and monitoring process for payments on a timely basis.
  • All correspondence relating to the project with Shipyards, Site Managers, Consultants and Inter departmental communications and updates on various matters.
  • Ensure that appropriate Site supervision agreements are in place for the work being carried out at the yard.
  • Coordinate with lawyers, site office, consultants, agents and all parties involved with the project, get required information and submit on a timely basis to the management for the smooth construction and delivery of the vessel.
  • Keep an eye on the various miles stones, updates from the yard and advise all concerned on a timely basis.
  • Monitor and control the budget for the site supervision and office running costs.
  • Ensure timely funding of the Site Office and review/submit accounts each month to the concerned department
  • Keep updated records for owner’s wish list and implementation thereof.
  • Keep track of the Plan approval process and record keeping of all construction and interior/exterior designer plans
  • Variation to Contracts (VTCs) records and updates at regular intervals.
  • Provide assistance to the Site Team for identifying and getting approval on various extra cost items on need basis.
  • Review monthly invoices for the project supervision cost/consultancy fee as applicable and correspond with them in case of any clarifications required and keep records for costs incurred.
  • Records of owner supply orders, deliveries and related items.
  • Organize meetings and travel arrangements for the project related travel.
  • Coordinate with all parties for the new-build construction related issues under instruction from the Project Manager /Director
  • Attend to various requirements of Principals from time to time.
  • Warranty related issues after delivery. Coordinate with shipyard, technical superintendent, ship staff etc to ensure guarantee work completion as per contractual terms.
  • Monthly/weekly meeting MoMs and records for circulation as required.
  • Quality Control Process Documents and Flow Charts as part of overall quality certification programme.
  • Preparation of various presentations, manuals, updates, studies for the higher management on need basis.
