Job Responsibilities:-
Maintenance:
Maintenance of infrastructure, preparation of annual maintenance plan, Ensure timely and cost effective execution of petty and special repairs for civil, electrical and furniture works, Opening of new Guest House.
Procurement Management:
Procure and keeping records for all electrical, sanitary, hardware, stationery, uniforms, furniture, utility, civil work and maintenance items for office and official premises as direction by senior.
Vendor Management:
Vendor analysis, monitoring, price negotiation, developing Vendor base for cost Effective procurement and timely supply of office equipment, stationery and office contingency items, Utility items, office and residential furniture items etc.
House Keeping & Hospitality:
Supervision of all housekeeping activities. Ensuring qualitative and cost effective Conservancy services by hiring casual labour and housekeeping staff. Ensuring pest control and check spread of Vector born diseases through spray of hygiene chemicals.
Cafeteria Management
Handling all cafeteria management, Food and beverages of employees at cost effective rates etc.
Security Management:
Supervision of Security Guards, Maintain security, as per company policy, Maintain record of all incoming & outgoing assets, Maintain visitor report, proper Checking of all office Premises after working hours, proper training of fire to all Security & Admin team, Installation of smoke detector, proper checking of all fire Equipment on weekly basis & maintain a report of the same, Monitoring of all office premises with CCTV camera and maintain incident report.
Asset Management: Preparing and maintaining of inventory of various assets.
HR Support:
Making comparisons, follow up sheets for new recruitment. Keeping records of staff. Hiring for outsource drivers, office boys and housekeeping staff and making their monthly salary calculation.
Billing and Letters:
Timely Payment of vendors according to our payment and terms condition and also, Maintain billing MIS, Purchase order, work order, bills covering letter, checking all bills, coordination with A/c Department regarding payment of all vendors, Annual Maintenance contracts of the office equipment’s and other service providers. Arrange legal Papers, Registration of agreements etc.
Event Management
Conduct of various conferences and meetings, celebration of anniversaries, functions and all other Cultural events as per instruction by HR Team.
Travel Management: Coordination with vendors for Airport, Railway station pick & drop.
