  • Providing a full range of secretarial, administrative, and clerical support to the assigned USAID/India office.
  • Duties include maintaining and updating the office director's calendar, receiving visitors and telephone calls, providing information to answer non-technical questions, arranging appointments, meetings, and conferences, scheduling conference rooms, notifying participants, and assembling background materials, and, as assigned, taking notes and following up to ensure commitments made in meetings and conferences are met.
  • Travel and logistical arrangement support for visiting officials. Ticketing, Visa, travel authorization in E2, eCC, travel advances, voucher submission, RSO clearance for visits to restricted states or cities, and out-of-country notifications in MyServices.
  • Arranging transportation facilities for events, putting in motor pool requests, visitor access requests, and other.
  • Receiving, reviewing, tracking, and controlling incoming and outgoing correspondences. Typing, drafting, and proofreading a variety of USAID correspondences, such as GLAAS documents, action memos, visa letters, and solicitations, with proper format, ensuring consistency.
  • Manage special events and VIP visits. Ensuring funds obligation for estimated expenses, drafting and sending invites, coordinating for the inputs and clearances of the briefing books, feedback, and survey forms. Managing RSVPs, Maintaining and updating contact in CRM System, expeditor services, Badging, Booking venue, Coordinating for refreshments, stationery, IT set-up.
  • Provide back-up support to the assigned office in completing Time and Attendance in a timely manner.
  • Work on different USAID systems like GLAAS, ASIST, CRM, E2, MyServices, WebEx, and State Account.
