Job Summary
The role involves providing comprehensive support in Talent Acquisition Administration, Fee management, accounts assistance, and front office coordination. The position ensures smooth functioning of administrative processes, maintains staff records, manages fee-related operations through ERP, and coordinates with internal departments and banks.
Key Responsibilities
1. Administrative Support
- Maintain daily attendance records for vocational and non-vocational staff on ERP.
- Ensure proper functioning and maintenance of biometric attendance systems.
- Maintain personnel files and service books for staff members.
- Prepare and process Offer Letters, Appointment Letters, and Confirmation Letters.
- Coordinate between Edunext ERP and the Administration Department for workshops and administrative issues.
2. Fee Management
- Generate quarterly fee bills through ERP.
- Manage fee collection, dues, and outstanding records in ERP.
- Track and follow up with quarterly fee defaulters.
- Maintain accurate fee records and reports.
- Update the Principal and the Head Office regarding fee collection and defaulters.
- Handle Transfer Certificate (TC) module in ERP.
3. Banking & Financial Coordination
- Manage bank transactions related to fee deposits and transfers.
- Coordinate with HDFC Bank regarding fee transfers, cheque bounce cases, reconciliations, and online payments.
- Maintain files related to fee collection, bank transactions, and outstanding payments.
- Submit collected fees in cash to the Accountant as required.
4. Accounts Support
- Maintain biometric records and attendance registers for salary processing.
- Assist the Accountant in preparing salary sheets.
- Provide backend support related to fee, bank.
5. Front Desk & Admission Support
- Assist the Front Office Executive / Admission Cell with queries related to ERP, admissions, fee, and withdrawals.
- Manage Front Desk responsibilities in the absence of the Front Desk Executive.
6. Additional Duties
- Assist in school events, functions, and administrative activities as assigned by the Principal.
Key skills & Competencies
- Knowledge of ERP systems (preferably Edunext) .
- Strong administrative and coordination skills.
- Basic accounts and banking knowledge.
- Proficiency in MS Office (Excel, Word, Email).
- Developed organizational and management skills under the supervision of the Principal, contributing to team achievements by ensuring effective coordination and adopting a proactive problem-solving mindset.
